Position Summary

The Outreach and Recruitment Coordinator – Special Partnerships ensures JobTrain’s career tracks meet enrollment targets by identifying potential students, conducting outreach, and supporting registration. They establish partnerships, track recruitment initiatives, and engage in outreach across the Bay Area.  Responsibilities include maintaining client records, generating reports, and participating in events. Strong research, communication, organization, and database skills are required.

This position will primarily work onsite with some work from home flexibility.

Major Duties and Responsibilities

  • Conduct ongoing outreach to recruit clients for all JobTrain programs and services, but with particular focus on assigned career training program(s). This will include but not be limited to:
    • Tracking special recruitment initiatives involves monitoring and evaluating the effectiveness of various recruitment strategies and campaigns.
    • Remain abreast of upcoming course start dates and plan and conduct outreach and recruitment efforts accordingly with select community partners.
    • Build and maintain relationships with partner organizations, attending meetings as appropriate, provide case updates and reports to community partners. Identify new partners for recruitment.
    • Canvas and distribute flyers in assigned geographic areas as needed
    • Respond to inquiries from the public and community organizations with information and materials, as appropriate. Provide special presentations to community partners including staff and clients.
    • Represent JobTrain at outreach events, including occasional evening and weekend events. Attend community stakeholder meetings as JobTrain Representative.
    • Seek out and participate in opportunities to promote JobTrain programs and services
  • Guide clients through the assessment process (if applicable). Communicate with Community partner if difficulty occurs on assessment.
    • Assist clients with completion of application (intake form) and submission of documents, as needed. Communicate with Community partner if any challenges arise.

    • If clients’ assessment scores are not sufficient for them to enroll in the program of their choice, coordinate with assessment lead.
    • Ensure that clients are smoothly and successfully transitioned to the appropriate Career Development Specialist after meeting all registration and assessment requirements. Provide updates on enrollments to Community Partner.
    • Answer additional questions or help with any aspect of the registration process as needed, collaborating effectively with appropriate JobTrain staff as required
  • Maintain timely and accurate client and outreach records in Salesforce database, including notes on all contacts, ensuring all required steps are completed, all required information has been collected, and detailing specific services provided. Update joint community partner documentation as needed. Generate up to date regular / ad hoc reports to monitor and inform others on client progress and outreach activity

  • Travel to relevant events / meetings in Bay Area to complete tasks as needed. Travel could be up to 30 miles each way.
  • Assist with other administrative duties as needed, including providing breaks to the front-desk receptionist
  • Partner with JobTrain staff to provide input / feedback to document and proactively and continuously improve career development / JobTrain processes.
  • Assist with training of new outreach staff as needed.
Qualifications

Experience

Demonstrated experience working as an outreach coordinator (at least three years or relevant experience) and successfully meeting all responsibilities of role.

  • Communication Skills - ability to communicate professionally verbally and in writing with integrity, comfortable making presentations to external groups and working 0ne-on-one in a supportive manner with clients
  • Collaboration / Teamwork - ability to effectively collaborate with internal and external partners, respectfully engage with diverse populations, and work independently or as a member of a team
  • Technology – Strong intermediate level knowledge of MS Office (Excel, Word, Outlook, Teams, PowerPoint) and database technology (Salesforce experience a plus)

Compensation and Benefits

JobTrain offers a competitive pay and benefits package including health insurance, dental insurance, vision, paid holidays, paid winter break, paid time off, retirement program employer match, long-term disability and life insurance.
The anticipated hiring range is $31/hour.
